Add people and set access levels

Who can sign in, and what each access level lets them do.

Add a person

  1. Go to Settings → Users and press Add a person.
  2. Enter their Name, Email and a Starting password.
  3. Tick one or more access levels and press Add person. They can sign in straight away.
  4. Give them their roles: press Roles on their row, tick the roles per functional area and the companies, and press Save roles. Or do it from Settings → Roles.

Everyone in the account can work in every company of the account. Access decides what they can do; Roles decides which areas they prepare, review or approve.

A person can hold several levels and gets everything each one allows, with one sign-in. Your plan sets how many admin and staff seats you have.

Change or remove access

  • Press Access on a person’s row, change the ticks and press Save access.
  • Only the super administrator can hand that role to someone else, by ticking it for them. They stay an admin.
  • Forgotten password? On their Access sheet, under Set a new password, type one (or press Suggest one) and press Set password. Give it to them privately: the next time they sign in with it, they must choose their own. Nobody can set the super administrator’s password: they change it in My account, or use Forgot password?.
  • Lost phone? On their Access sheet, press Reset two-factor sign-in. They sign in with their password and set it up again.
  • Delete removes the person’s sign-in. Their past sign-offs and comments stay, with their name.
