Who prepares, reviews and approves normally comes from the task’s functional area in Settings → Roles. When someone is away or overloaded, a staff manager or admin can change it for one task only, without touching Roles.
- Open the task from the close, My Workarea or Pending.
- Press Reassign this task.
- Choose who should prepare, review or approve this task. You only see the steps the area uses, and the current step is marked.
- Press Save. The task shows a Reassigned tag on the close board, and it moves to the new person’s My Workarea.
- Work in progress moves to the new preparer with its notes and attachments.
- Only the person it was given to, a staff manager or an admin can then work on that step. The area’s usual holder can still view it.
- Other tasks in the same area keep the people in Roles.
- A signed-off task must be reopened before it can be reassigned.
- The usual rule still applies: nobody reviews or approves work they prepared.
- Reassigning is recorded in the task’s history and in the audit log.
- To change who does a whole area for every close, change Roles instead.
